This policy explains what information The Probiz Group LLC, which operates The Reel Machine ("The Reel Machine," "we," "us"), collects, why we collect it, and what we do with it. We've written it in plain English.
What we collect
We only collect what we need to talk to you and do the work:
- Contact information you give us — your name, the name of your podcast or brand, your email, your phone number if you share it, and anything you type into our forms.
- Booking details — the date, time, and information you provide when you schedule a call with us.
- The episodes you send us — the audio and video files you upload or share with us.
- What we derive from those episodes — transcripts, timestamps, candidate cuts, captions, hooks, and the finished clips we deliver.
- Founding access emails — if you request a founding-tier seat, we keep your email and your request so we can hold the seat and follow up.
- Basic site and usage data — standard technical information such as IP address, browser type, and pages viewed, collected through our hosting provider.
How we use it
- To provide the service: process your episode, transcribe it, propose cuts, write hooks, generate captions, and deliver your clips.
- For human editorial review — someone on our team reviews, discards, and edits before anything ships.
- To improve the service — the quality of the cuts, the hooks, and the Spanish we produce.
- To answer you, schedule calls, and follow up about your project or your founding seat.
- To bill you and meet our legal and tax obligations.
- To protect our systems against fraud and abuse.
We do not sell your personal information, and we do not rent or trade it. Your content is yours: we don't publish it, or use it as a sample of our work, without your permission.
Who we share it with
To run the service we use providers that process data on our behalf and under contract, only to provide the service to us:
- Hosting and file delivery — to host this site and to store and transfer your episodes and clips.
- Transcription — to turn your episode's audio into timestamped text.
- AI models — to propose moments and draft hooks from the transcript.
- Video rendering — to cut, reformat vertically, and burn in captions.
- Scheduling, email, and payments — to book calls, communicate with you, and charge subscriptions.
We may also share information if the law requires it, or to defend our rights.
How long we keep it
We keep the episodes you upload and their derivatives (transcripts and cuts) while your project is active and for up to 90 days after the last delivery, so we can redo or adjust a clip. We keep finished clips for as long as you're a client. Contact and booking records are kept while we're in touch and for a reasonable period afterward. Billing records are kept as long as our tax and accounting obligations require. You can ask us to delete your material sooner — we will, unless we're required to keep it.
Your choices and rights
- Access and correction — ask us what we have about you, and ask us to fix anything that's wrong.
- Deletion — ask us to delete your episodes, their derivatives, or your contact details.
- A copy of your material — ask us for a copy of the clips and transcripts we generated for you.
- Opt out of email — use the unsubscribe link, or just ask us.
Email us at the address below. We'll respond within a reasonable time, and we won't treat you differently for asking. Depending on where you live, you may have additional rights under your state or country's privacy law; tell us and we'll honor them.
Security
We use reputable providers and take reasonable measures to protect what we hold. No system is perfectly secure, so we can't guarantee absolute security. Please don't send us sensitive information — such as government ID or account numbers — by email or chat.
Children
This service is for creators and businesses. It is not directed to children under 13, and we don't knowingly collect information from them.
Changes to this policy
If we change this policy, we'll post the updated version here and change the effective date at the top. Material changes will be reflected on this page before they take effect.
